Best used for

This template is designed for launch plans, content projects, internal improvements. It stays deliberately compact so you can adapt it to a live workflow without first removing a dozen decorative columns.

How to set it up

  1. List the major project phases first, then add dates after the sequence feels right.
  2. Assign one owner per phase even if several people contribute to the work.
  3. Write a deliverable for each phase so the team knows what done means.

Recommended workflow

Review the timeline twice a week: once to plan and once to catch schedule risk.

When a date changes, add a short note about why it moved.

Use blocked status only when the owner cannot move the phase without help or a decision.

Ways to customize it

  • Add a Dependency column when one phase cannot start until another team finishes something.
  • Add a Review Date column for phases that need stakeholder approval.
  • Create a separate tab for task-level detail if the phase list becomes too crowded.

Common mistakes to avoid

  • Turning the timeline into a giant task list.
  • Using phases with no visible deliverable.
  • Changing dates silently, which makes the timeline less trustworthy.

Template FAQ

What should I do before using this template with a team?

Duplicate the file, rename the working copy, add owners, and check that the editable columns match your actual workflow.

Can I add formulas or automations?

Yes, but add them after the manual workflow is clear. Simple templates are easier to audit, explain, and repair.

Why are these templates intentionally simple?

Most small teams need a shared record first. Extra dashboards and formulas can be added later when the process has proven useful.
