Planning template
Weekly Work Planner
A five-day planning sheet for choosing a weekly outcome, protecting focus blocks, and ending each day with a clear reset.
What this template includes
- Day
- Top Focus
- Secondary Tasks
- Meetings
- Shutdown Note
Best used for
This template is designed for solo operators, freelancers, small team leads. It stays deliberately compact so you can adapt it to a live workflow without first removing a dozen decorative columns.
How to set it up
- Import the CSV into your spreadsheet tool, then rename the file with the week start date so older plans stay searchable.
- Fill the Top Focus column before adding secondary work. This keeps the plan anchored to outcomes instead of volume.
- Use the Meetings column to protect preparation and follow-up time, not just the meeting itself.
Recommended workflow
Plan the week on Monday morning or Friday afternoon, then update only the parts that actually changed.
At the end of each day, write one shutdown note that captures what tomorrow needs first.
On Friday, archive finished work and move only truly unfinished items into the next week's sheet.
Ways to customize it
- Add a Waiting column if your week often depends on replies from clients, vendors, or teammates.
- Color only the Top Focus cells that are blocked. Avoid using several colors for ordinary priority levels.
- Create a second tab for recurring weekly routines if you want to keep the main planner focused.
Common mistakes to avoid
- Using the planner as a dumping ground for every possible task.
- Planning five fully packed days without leaving time for support work.
- Skipping the shutdown note, which makes the sheet harder to restart the next morning.
Template FAQ
What should I do before using this template with a team?
Duplicate the file, rename the working copy, add owners, and check that the editable columns match your actual workflow.
Can I add formulas or automations?
Yes, but add them after the manual workflow is clear. Simple templates are easier to audit, explain, and repair.
Why are these templates intentionally simple?
Most small teams need a shared record first. Extra dashboards and formulas can be added later when the process has proven useful.
